This privacy policy explains how Mastering Therapy collects and uses personal information through its website, podcast-related mailing list, free resources, digital guides, workshops, AI-related resources, customer accounts and contact enquiries.

It does not apply to Dr Natalie Stott's separate clinical psychology practice or to information processed as part of clinical work.

1. Who is responsible for your information?

Mastering Therapy is a sole-trader business operated by Dr Natalie Stott. For UK data-protection purposes, Natalie Stott is the controller of the personal information described in this policy.

2. Who Mastering Therapy is for

Mastering Therapy is intended for adults and therapy professionals. It is not directed at children, and Mastering Therapy does not knowingly collect children's personal information.

3. Information we collect

Depending on how you interact with Mastering Therapy, we may collect:

• your name and email address;
• your website address and the contents of a message or enquiry you send;
• your marketing preferences, including when and how you gave or withdrew consent;
• information about delivery of marketing emails and, where permitted, whether an email was opened or a link was selected;
• order information, including the item purchased, transaction date, amount paid and payment status;
• account and access information for your FG Funnels private library, including your login details, purchase history and access permissions;
• workshop registration and attendance information;
• information included in a Zoom workshop recording where you have agreed in advance to the recording of your identifiable name, voice, video or contribution; and
• technical information about use of the website, such as IP address, device and browser information, pages visited, referring information, and cookie or advertising identifiers where you have consented to the relevant technology.

We do not ask you to provide identifiable information about therapy clients or patients in forms, enquiries or workshop questions. Please do not include confidential or identifiable client information.

4. Free resources and lead magnets

When you request a free resource or lead magnet, including an AI website-audit prompt, we use your name and email address to provide the resource you requested. Unless you separately tick the optional marketing box, we do not use those details to send marketing emails.

AI-related resources are downloaded and used independently in an AI service chosen by the recipient. Mastering Therapy does not receive, access or store the information a recipient later enters into that AI service or the output it produces. The recipient's chosen AI provider processes that information under its own privacy terms.

5. Purchases and private-library access

When you purchase a guide or workshop, we use your information to process the order, provide customer support and create or maintain your FG Funnels private-library account.

Guides may be downloaded from the library. Workshop content can be watched in the library but is not downloadable.

Payments are processed by Stripe. You enter your card details directly into Stripe, and Mastering Therapy does not receive or store your full card details. We receive the information needed to confirm and manage the transaction, such as payment status, amount, date and limited payment information made available by Stripe.

6. Workshops and Zoom

Most workshop registration, delivery and stored content is managed through FG Funnels. Zoom may occasionally be used for live workshops.

If a Zoom workshop is recorded, identifiable participant names, voices, video or contributions will only be recorded with prior consent. Where appropriate, participants who do not consent will be given a practical way to take part without appearing in the recording.

7. Email marketing

We send marketing emails only where you have actively chosen to receive them. Marketing is by email only; we do not send promotional SMS or WhatsApp messages.

You can unsubscribe at any time by using the unsubscribe link in an email or contacting [email protected]. Withdrawing consent does not affect processing that took place before withdrawal.

FG Funnels may record email delivery, opens and selected links so we can understand engagement and improve communications. Where this involves a tracking pixel or other technology on your device, we will provide appropriate information and obtain consent where required.

During the mailing-list migration, Loops temporarily stores and emails existing subscribers. New website subscribers are stored in FG Funnels and are not transferred to Loops. Once the migration is complete, existing subscribers will be transferred to FG Funnels and removed from Loops.

8. Cookies, analytics and advertising

The website uses essential technologies needed for security, account access and website functions. We also intend to use Google Analytics to understand how the website is used and Google Ads technologies to measure advertising and, where enabled, support remarketing.

Analytics and advertising technologies will not be activated until the relevant visitor choice has been obtained through the website's cookie controls. You can choose to accept all cookies or essential cookies only.

Our current planned non-essential cookies include:

• Google Analytics cookies beginning _ga, which may last for up to two years;
• _gid, which may last for approximately 24 hours; and
• Google Ads cookies beginning _gcl_, which may last for up to 90 days.

The actual cookie list will be reviewed when Google Analytics and Google Ads are installed and whenever the website's technologies change.

Links to YouTube, Spotify, Apple Podcasts, LinkedIn, Instagram and other external services take you away from the Mastering Therapy website. Those services operate under their own privacy and cookie terms. The links themselves are not embedded media players or social-media tracking tags on the Mastering Therapy website.

9. Why we use personal information

We rely on the following lawful bases under UK data-protection law:

We do not use personal information for automated decisions that produce legal or similarly significant effects.

10. Service providers and sharing

We do not sell personal information. We share it only where needed to operate Mastering Therapy, provide a requested service, comply with the law or protect legal rights.

Relevant providers may include:

• FG Funnels and its underlying service providers, for website forms, contact management, email delivery, customer accounts, private-library access, automations and order administration;
• Loops, temporarily, for the existing mailing list during migration;
• Stripe, for payment processing and transaction management;
• Zoom, when used for live workshops;
• Google Analytics and Google Ads, where the relevant tracking has been enabled with the required visitor choice; and
• professional advisers or authorities where disclosure is reasonably necessary or legally required.

No employee, virtual assistant or marketing contractor currently has routine access to customer or subscriber information. Website support providers are not given access unless it is genuinely needed and appropriate safeguards are in place.

11. International processing

Some service providers may process personal information outside the UK. Where UK data-protection rules on restricted transfers apply, we use a permitted transfer mechanism, such as UK adequacy regulations or appropriate contractual safeguards, and take any further steps required for the transfer.

12. How long we keep information

We keep personal information only for as long as it is needed for the relevant purpose:

• ordinary enquiries are normally kept for up to two years after the last contact;
• lead-magnet delivery records for people who did not consent to marketing are normally kept for up to one year;
• marketing information is kept until consent is withdrawn, the person unsubscribes or the information is no longer needed, with limited suppression information retained where necessary to respect the opt-out;
• FG Funnels customer accounts, purchase records and access permissions are kept while lifetime access is being provided;
• asking us to delete a private-library account may end access to purchased content, which we will explain before acting on the request;
• transaction, tax and accounting records are retained for the period required by applicable law;
• identifiable Zoom recordings and related consent records are kept only for as long as needed for the stated workshop purpose; and
• cookie preferences are currently set to be requested again after 180 days, while individual cookie durations are described above.

We review information periodically and delete or anonymise it when it is no longer needed.

13. Security

We take reasonable technical and organisational measures to protect personal information from loss, misuse, unauthorised access, alteration or disclosure. No online service can guarantee absolute security, but we limit access and use reputable service providers appropriate to the information involved.

14. Your rights

Depending on the circumstances, you may have the right to:

• receive a copy of your personal information;
• correct inaccurate or incomplete information;
• ask for information to be deleted;
• restrict or object to particular processing;
• receive certain information in a portable format;
• withdraw consent at any time; and
• complain to the Information Commissioner's Office.
